1. Header Information

- Invoice Number: A consecutive serial number not exceeding 16 characters, in one or multiple series, containing alphabets or numerals or special characters (hyphen or dash and slash symbolized as "-" and "/"). It must be unique for a financial year.
- Date of Issue: The exact date the invoice was generated.
2. Supplier (Your) Details
- Name: Legal name of your business.
- Address: Registered business address.
- GSTIN: Your 15-digit Goods and Services Tax Identification Number.
3. Recipient (Buyer) Details
- Name & Address: The buyer's name and billing address.
- Delivery Address: Required if the delivery address is different from the billing address.
- Buyer's GSTIN / UIN: If the buyer is registered under GST. If the buyer is unregistered and the value of supply is ₹50,000 or more, their name and address are mandatory.
4. Item Details
- Description of Goods or Services: Clear details of what is being sold.
- HSN Code or SAC Code: Harmonized System of Nomenclature code for goods, or Services Accounting Code for services. The number of digits required depends on your turnover.
- Quantity: Total quantity and unit of measurement (e.g., kg, pieces, meters).
- Total Value: The total value of the supply of goods or services.
- Taxable Value: The value of the goods or services after taking into account any discount or abatement.
5. Tax Breakdown
- Rate of Tax: The GST rate applied (e.g., 0%, 5%, 12%, 18%, 28%).
- Amount of Tax Charged: The tax must be clearly split into:
- CGST (Central GST)
- SGST (State GST)
- IGST (Integrated GST)
- Cess (if applicable)
- Place of Supply: Along with the name of the State, in case of an inter-state trade or commerce.
6. Authentication
- Signature: Signature or digital signature of the supplier or his authorized representative. (Note: Under certain IT regulations, a computer-generated invoice without a physical signature is acceptable if it contains a disclaimer).
What about a "Bill of Supply"?
A Tax Invoice is issued by a registered dealer who is charging GST. However, there are two scenarios where you cannot charge GST, and therefore cannot issue a Tax Invoice:
- You are registered under the Composition Scheme.
- You are selling exempted goods or services.
In these cases, you must issue a Bill of Supply instead of a Tax Invoice. A Bill of Supply looks identical to an invoice, but it does not contain any tax amounts (CGST, SGST, IGST) and does not allow the buyer to claim ITC.
